You sent 120 units to a Walmart fulfillment center, the carrier shows the boxes delivered, and Seller Center says 108 were received. Twelve units, gone. Sell on WFS long enough and this will happen to you. Most sellers who say WFS "never reimburses" either missed the claim window or sent the wrong paperwork. Here is how to catch shortages and file a claim that gets paid.
Where WFS inventory goes missing
Missing units show up in three places, and each one has its own process:
| Where it happens | What you see | Where to act |
|---|---|---|
| Inbound receiving | Received quantity lower than shipped quantity on a completed shipment | "Investigate shipment" on the inbound order |
| Inside the fulfillment center | Units marked as lost in your inventory reconciliation | Reconciliation report, then Seller Support if it is not credited |
| Removals and returns | Fewer units in your removal order than you paid for, or a customer return that never came back | Removal claim or return dispute |
Inbound receiving is the most common and has the strictest timing, so most of this article is about it.
Wait for "Completed", then check every shipment
Receiving at WFS is slow, especially in Q4, and partial counts while a shipment is still being received mean nothing. Walmart's own guidance is to wait until the shipment status reads Completed before comparing shipped and received units. The dispute option only appears at that point, and only if units are actually short.
Then compare each GTIN separately, because the shipment total can hide problems. A shipment can balance overall while one SKU is short 10 units and another is "over" by 10 because two similar items got received under the wrong listing. That is a mislabel or a mis-receive, and you want to catch it before those units sell under the wrong item.
Keep a simple sheet for every inbound: shipment ID, delivery date, GTIN, shipped, received, difference. Two minutes per shipment, and it is how you remember which ones still need a claim three weeks later.
The claim window is short
This is where most money is lost. According to Walmart's Marketplace Learn guide, the "Investigate shipment" button is only active from 10 to 50 days after delivery. After day 50 the button goes gray and the loss is yours.
The clock starts at delivery, so a shipment that takes four weeks to finish receiving leaves you only a few weeks to act. And late October through November is when receiving drags most and you are busiest. Set reminders at day 15 and day 35 for every shipment.
What Walmart wants as proof
Walmart asks for three forms of shipment confirmation before it investigates a shortage. The one that sinks most claims is proof of delivery: it must cover the complete shipment and clearly show the UPC, SKU or GTIN and the quantity of each item. A tracking page that says "Delivered" is not enough on its own.
What to save for every WFS shipment, before you ship it:
- The packing list or commercial invoice with GTINs and unit counts per box
- The signed bill of lading or carrier proof of delivery (for LTL, make sure the pallet count matches)
- Box content labels and photos of packed cartons with the count visible
- Your supplier invoice for the units, in case cost or ownership is questioned
Once you submit the documents, Walmart says Seller Support aims to resolve the claim within 10 calendar days. The catch: Walmart and WFS make the final decision at their discretion, and the receiving dispute guide states that no appeals are accepted. You get one good shot, so send the full set of documents the first time.
A worked example
Say you shipped two SKUs in one inbound:
| SKU | Shipped | Received | Missing | Your cost | Walmart price |
|---|---|---|---|---|---|
| Kitchen scale | 60 | 60 | 0 | $11.00 | $29.99 |
| Silicone lids set | 60 | 48 | 12 | $6.50 | $19.97 |
Twelve missing units at $6.50 cost is $78 out of pocket, plus the profit you would have made selling them. If you had planned on roughly $6 profit each after fees, the real damage is closer to $150 over the life of that stock.
For units lost while in WFS custody, Walmart's guide says reimbursement is based on estimated sale proceeds using the item's average sale price, which is usually more than your cost but less than the full price once fees are taken out. It still beats writing off $78 because you checked on day 52.
Units lost inside the fulfillment center
Units also disappear after receiving: misplaced during picking, damaged on a shelf, moved between buildings. Walmart's inventory reconciliation report has a "Lost" category for these and a "Found" category for units that turn up later. Pull it once a month. If units are marked lost with no matching credit in your settlements, open a Seller Support case with the GTIN, dates and quantities.
Removals have their own rule: if a removal order arrives short, Walmart's removal guide says to file within 60 days of the financial deduction, with the GTINs, unit counts, tracking number and a short description. For returns, you generally cannot dispute one the customer opened but never shipped back unless you were charged for it.

How to lose fewer units in the first place
Claims cost time. A few habits cut shortages a lot:
- Label every unit correctly and cover any old barcodes. Mis-receives under the wrong GTIN are a common source of "missing" units.
- Keep one SKU per box where you can. Mixed cartons are counted by hand and get miscounted more often.
- Ship slow movers FBM. If a product sells three units a month, it sits in a fulfillment center for months, collecting storage fees and exposure to loss. Our WFS vs FBM comparison covers when WFS is worth it per product, and the fees guide shows what storage costs over time.
- Check sales velocity before choosing quantity. Sending 120 units of something that moves 15 a month means more inventory in the building for longer. If you are not sure how fast an item moves, start with estimating units sold per month.
Frequently asked questions
How long do I have to file a WFS missing inventory claim? For inbound receiving shortages, the Investigate shipment option is available from 10 to 50 days after the shipment was delivered, and only once the shipment shows Completed. Check the current window in Seller Center, since Walmart can change it.
Does Walmart reimburse lost WFS inventory? Yes, when an investigation finds that units were lost or damaged while in WFS custody. Walmart's guide says reimbursement is based on estimated sale proceeds using the average sale price. Receiving dispute decisions are final.
What documents do I need for a WFS receiving dispute? Walmart asks for three forms of shipment confirmation. Proof of delivery must cover the whole shipment and show the UPC, SKU or GTIN and the quantity of each item. Keep packing lists, the signed bill of lading and box photos for every shipment.
Why does my WFS shipment show fewer units than I sent? Usually receiving is still in progress, units were received under the wrong GTIN because of a labeling issue, or cartons were lost or miscounted. Wait for Completed status, compare each GTIN, then file a claim for whatever is still short.
